This role is office based and you'll work in Aberdeen city centre. Our offices are located in Horizons house, overlooking the harbor.

Main responsibilities for this role are:

  • Support the Engineering Manager with the daily organisation and administrative tasks of the Engineering Department.
  • Support learning and development initiatives including organising training, tracking attendance, maintaining competency records.
  • Update and maintain Engineering systems, policies, and processes as advised by the Engineering Manager.
  • Continuously evaluate and identify routes to organizational efficiency.
  • Monitor and update training records and mandatory certification for engineering department.
  • Generate and monitor planning schedules for Graduate Engineer rotations.
  • Take ownership of following up on any engineering team enquiries and problems, resolving or escalating issues as appropriate.
  • Assist with data entry and maintaining accurate records in electronic filing systems, consolidating of engineering data for reporting.
  • Management and filing of Engineering documents.
  • Liaise with Project Manager/ Manager responsible for approval of travel and expenses , and ensure  correct cost codes are used.
  • Liaise with business travel agent  to arrange travel, accommodation, and transport requirements for the team.
  • Assist in developing presentations, participate in meetings and video calls with clients, contractors and internal team members as needed, providing administrative support, making notes, recording actions.
  • Support engineering manager in monitoring accrued leave.
  • Support input of expenses according to company policy, ensuring attention to details.
  • Assist with general office duties such as filing, photocopying, and scanning documents.
  • Other assigned duties and ad hoc administrative tasks as requested by the Engineering team.

Requirements

  • Experience in a similar role preferred but not essential
  • University degree
  • Fluent English
  • High degree of computer literacy, especially MS Office
  • Proactive problem solver
  • Able to demonstrate strong organisational skills and high levels of self-motivation
  • Show a curious mindset to existing and emerging technologies to support new ways of working and the ability to embrace and adapt to new technology in a fast moving tech environment
