About the role

We are looking for a bright and self-motivated PA, who can multi-task, prioritise and plan ahead. The successful candidate will be a real team player who is efficient, likes variety and gets stuff done! The role will support a group of C-Suite Executives and report into the Executive Business Manager who will be your mentor and will support with your career development.

Responsibilities

  • Provide proactive and comprehensive PA support, ensuring smooth day-to-day operations
  • Manage correspondence and routing information as necessary
  • Coordinate and manage complex schedules, including meetings, appointments and events, resolving any scheduling conflicts promptly
  • Organise domestic and international travel, including flights, accommodation, transportation and detailed itineraries
  • Organise and prepare material for meetings in a timely manner
  • Attend meetings, take actions and distribute comprehensive notes to participants, ensuring action points are followed up accordingly
  • Conduct research and prepare presentations and reports as required
  • Assist with events, including customer meetings, offsites and team socials
  • Manage expense claims and invoices
  • Provide ad-hoc PA support for wider ExCo and arrange travel for Board Members
  • Provide support for tasks as required by the Executive Business Manager
  • Provide cover for Office Assistant and Executive Business Manager as required
  • Maintain strict confidentiality, discretion and loyalty

Requirements

  • At least 2-3 years of solid experience in a PA role, supporting multiple directors
  • Great team player, extremely resourceful with a positive can-do attitude
  • Excellent organisational and time management skills
  • Be able to balance speed and quality depending on the task
  • Be able to multi-task, manage competing priorities and pre-empt requirements
  • Pays meticulous attention to detail and ensures accuracy in all tasks
  • Confidence in working across time zones
  • The ability to follow instructions carefully and provide clear, confident communication both internally and externally
  • Have exceptional interpersonal and communication skills, with an ability to engage effectively with stakeholders at all levels in a professional manner
  • Ability to handle confidential information with integrity, discretion and professionalism
  • Proficient in MS365, tech in general and able to pick up new software systems easily
