To provide administrative support to the Sales & Client Services Function. The Executive Assistant will ensure smooth operation and organisation of the daily activities, for three members of the senior management team, enabling them to focus on more strategic aspects of their roles.

Key Responsibilities:

Administrative Support:

  • Manage and organise calendars, schedule meetings, and appointments
  • Prepare reports, presentations, and briefs as required
  • Acting as the first point of contact and gatekeeper 
  • Tracking of and follow up actions from meetings and emails

Travel Arrangements:

  • Plan and book travel itineraries, including flights, accommodations, and transportation.

Meeting and Event Coordination:

  • Organise and coordinate meetings, conferences, and events, including booking venues and arranging catering.
  • Prepare agendas, take minutes, and follow up on action items.

Project Management:

  • Assist in the planning and execution of various projects, ensuring deadlines are met.

Confidentiality and Discretion:

  • Handle sensitive information with the utmost confidentiality and professionalism.
  • Act as a trusted advisor and confidant to the employer.

Requirements

  • Excellent organisational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to multitask and prioritise tasks effectively.
  • High level of discretion and confidentiality.

  • Ability to work independently and as part of a team.
  • Flexibility and adaptability to changing priorities and demands.

Working Conditions:

  • Office-based 3 days a week, but may require travel
  • Standard working hours but may need to be flexible depending on the schedule and needs.
