Job Summary:

This newly created role within the Online team combines the responsibilities of both a Scheduling Assistant and an Online Course Advisor. You will be responsible for managing and maintaining an efficient schedule for our students, ensuring effective allocation of teaching and freelance staff, and providing administrative support to new and existing customers and clients. You will work closely with multiple teams to ensure the smooth running of our online programmes. This is a full-time role including significant home working, with the opportunity to work from the Birmingham First Intuition centre as and when required. You will report into the Head of Online Programme Delivery and the Online Operations Supervisor.

Duties and Responsibilities:

Course scheduling:

    • Maintain an accurate and efficient schedule for all courses and support the Head of Online Programme Delivery in developing future schedules.
    • Create Adobe Connect rooms and be the first responder for any technical issues during online delivery.
    • Collaborate with the operations and service team to ensure schedule alignment with their needs.
    • Act as the first point of contact for urgent cover requirements, propose solutions to the line manager, and communicate final decisions.
    • Respond promptly to changes in scheduling requirements, including cancellations, rescheduling, tutor changes, and client requests.
    • Communicate regularly with the client/apprenticeship team to understand their needs and ensure the schedule meets expectations.
    • Support freelancer management with booking confirmations, invoicing, and teaching support.

  

Online Operations:

    • Serve as the primary contact for online students, handling enquiries and providing advice and guidance.
    • Maintain student and client records with course booking data, process payments/invoicing, and dispatch materials as required.
    • Provide proactive support to students, advising on suitable courses and study methods.
    • Liaise with regional FI centres to coordinate administrative support for national clients.
    • Produce reports on student and client information and gather feedback.
    • Support daily business operations and assist the Online Operations Supervisor and Head of Online Operations as needed. 

This is a hybrid role, meaning you need to have an appropriate working space at home. You will have the opportunity to work occasionally from our Birmingham centre.

Requirements

Qualifications and Skills:

Essential:

    • 1+ years of experience in customer service in an office environment, including handling customer telephone calls.
    • Proficiency in Microsoft Office software (Excel, Word) and other office packages.
    • Excellent organisational skills and attention to detail.
    • Effective communicator with excellent interpersonal skills.
    • Strong organisational, problem-solving, and time management skills.
    • Adaptability to changing processes, procedures, and customer needs.
    • Ability to work both independently and collaboratively in a team environment.

Desirable:

    • Experience in a scheduling or logistics role, preferably in an educational setting.
    • Experience in the accountancy and finance sector.
    • Experience with apprenticeship standards and programmes.
    • Experience using a CRM system such as Administrate or Salesforce.
    • Experience with Adobe Connect.
