Role Overview

The HR Coordinator and Office Manager is the person to raise all employee and office related issues.  Our people are our most important asset and you’ll be the one to ensure we have a happy and productive workforce and culture, where everyone works towards our vision, mission and values. 

This role truly defines Judopay's people-related policies and processes by supporting the business to deliver support and strategy across the company, aligned with the law. Supporting the business to resolve challenging issues related to the employment and dismissal of staff and supporting the company’s employees with challenges that relate to their welfare and employment.

The role reports in to the Judopay CEO/Managing Director and works closely with our senior leadership team, with an additional ‘dotted line’ into the  Chief People Officer of our parent company Fabrick S.p.A.

The role is varied and encompasses managing the recruitment process from start to finish, selection and termination of employees, employee engagement, learning and development, compensation, rewards and benefits and organisational development to help the company, its people and culture to develop and grow.

Requirements

Key Responsibilities

HR Coordinator:

  • Bridge management and employee relations by addressing demands, grievances or other issues.
  • Managing financial elements such as payroll, compensation and benefits, and pension schemes. 
  • Work closely with senior management and provide solid decision support through HR metrics and reports.
  • Ensure compliance (legal and otherwise) across the function.
  • Provide administrative support for performance processes such as monthly reviews, performance reviews, salary review and career development plans.
  • Update and maintain HRIS.
  • Maintain a positive working environment and nurture company culture alongside implementing improvement strategies based upon feedback received through our employee engagement platform, Officevibe.
  • Assess employee training needs and organise training programs.
  • Manage all employment birthdays and Judoversaries. 
  • Manage the entire recruitment and selection process.
  • Manage the process and administration of the total employee life cycle, from onboarding through to leaver process.
  • Manage all benefit platforms available to staff.
  • Organise new starter onboarding and training sessions.
  • Manage the probationary period with all members of staff ensuring the relevant documentation is complete.
  • Update any change of terms documentation.
  • Manage the Experian background check process and Right to Work checks.

Office Management:

  • General office administration - assisting with the running of the office (ordering office supplies, being the main point of contact for the building management) booking travel for employees, creating and sending out the internal employee communications.
  • Organising monthly team breakfast.
  • Supporting the organisation of key company meetings and external events.
  • Organising meeting rooms.
  • Providing support to board members. 
  • Keep our office organised and tidy at all times.
  • Put together the monthly Employee engagement calendar. 
  • Organising gifts for employees.

Skills & Qualities:

  • Exceptional organisational and communication skills together with leadership capabilities.
  • Proactive team player with strong customer service and problem-solving skills.
  • Experience in developing and supporting line managers through change, people management and development.
  • An ability to maintain confidentiality and act with discretion and diplomacy. Self-motivated and able to work using own initiative whilst juggling a wide range of tasks. 
  • People oriented and results driven.
  • Demonstrable experience with human resources metrics, reports, systems and databases.
  • Ability to architect strategy along with leadership skills.
  • Experience in effectively dealing with conflict, challenging situations and individuals.
  • Approachable, an excellent listener, negotiator and advisor.
  • Competence to build rapport quickly and effectively manage interpersonal relationships at all levels of the company.
  • In-depth knowledge and able to confidently advise law, HR best practices, company policy and process.
  • A professional and commercial approach to HR, with the ability to deliver high employee satisfaction, appropriate development and reward for individuals.
  • CIPD qualification is desirable but not essential.
