Job description

Position: Office Administrator

Location: Chester

Contract: Full Time, Permanent

Hours: 37.5 hours per week, Monday to Friday

Salary: Basic salary from £22,500k per annum

Reporting To: Team Leader

Duties of an Office Administrator at Urban Planters Chester

Answering the Phones 

  • Answering clients request & complaints and on first response and then forwarding on to correct line managers to action
  • First Response to emails, maintenance complaints and passing onto Maintenance Manager.
  • Taking messages and emailing to work colleagues.
  • Forwarding internal calls, if required.
  • General Office Duties – opening Mail and forwarding to correct department.
  • Filling and speaking to any visitors, if required.

Installs

  • Processing documentation including new sales, re-signs & contract terminations & emailing details to other departments and inputting on to Trello.
  • Produce install sheets for Installation manager to order from and save on to teams as required.
  • Plant passports information to be collated on to spreadsheets and made traceable for Plant passporting.
  • Prepare invoice spreadsheet to send to accounts payable on weekly basis.

 

Maintenance

Help the maintenance Manager to collect information, book in techs and produce a booking in sheet for the techs to be sent out weekly, alter when required and update rota to reflect this .

  • Upload work mobile system dockets
  • Search database when required to update clients
  • Updating route sheets as required
  • Create maintenance schedules (Updating when required)
  • Adhoc Extra maintenance admin
  • Christmas booking in and Christmas admin when required

Requirements

To be considered for the Office Administrator position you will ideally have the following;

Skills Required 

  •  Competent user of Microsoft Office systems 
  • Good interpersonal & communication skills 
  • Strong attention to detail & accuracy skills 
  • Ability to work effectively as part of a team 
  • Able to accurately follow instructions 
  • Ability to deliver tasks & work to deadlines
