We are searching for a dedicated and resourceful Personal Assistant to support our CEO with both professional and personal tasks. This role requires flexibility, discretion, and a strong focus on efficiency.

Role Overview:

The ideal candidate will be highly adaptable, organised, and able to work flexible hours, including weekends when required. You will handle a wide variety of tasks ranging from business support to personal errands and travel coordination. This position requires someone who can act swiftly, prioritise efficiently, and manage the CEO’s busy schedule seamlessly.

Key Responsibilities:

  • Diary and Calendar Management: Organise and maintain the CEO’s schedule, ensuring smooth coordination of business and personal commitments.
  • Flexible Availability: Be available for tasks during non-standard hours, including evenings and weekends, as needed.
  • Travel Arrangements: Manage both domestic and international travel plans, including flights, accommodation, and detailed itineraries.
  • Email and Correspondence: Manage and prioritise emails, draft responses, and ensure timely follow-ups on key communications.
  • Personal Errands: Assist with personal errands such as booking appointments, shopping, and household management tasks.
  • Meeting Coordination: Prepare for meetings by organising agendas, taking minutes, and tracking action points for follow-up.
  • Project Assistance: Provide support with research, presentations, and reports for business-related projects.
  • Expense Management: Track and process expenses for both professional and personal activities.
  • Confidentiality: Maintain absolute discretion and confidentiality in all personal and professional matters.
  • Efficiency & Organisation: Ensure that tasks are completed promptly and efficiently, with a focus on getting things done quickly and correctly.

Requirements

Key Requirements:

  • Proven experience as a Personal Assistant or Executive Assistant in a dynamic, fast-paced environment.
  • Flexible with Working Hours: Willingness to work weekends and evenings when required, and to travel both nationally and internationally on short notice.
  • Excellent time management skills, with the ability to juggle multiple tasks and prioritise effectively.
  • Strong written and verbal communication skills.
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and online collaboration tools.
  • Ability to manage personal errands and business tasks with equal attention to detail.
  • Discretion and trustworthiness, particularly when handling confidential information.
  • Problem-Solving Skills: Ability to anticipate the needs of the CEO and provide solutions proactively.

Desirable:

  • Previous experience supporting C-level executives, especially in the healthcare or pharmaceutical sectors.
  • Experience working in a growing, fast-paced business environment.
