Managing a 48,000 sq ft property. This will include, but will not be limited to the below:
  • To ensure that all electrical, mechanical, HVAC and general services equipment are maintained in accordance with the agreed specifications and legislative requirements and always operate efficiently.
  • To prepare and implement planned and unscheduled maintenance programs using the given computerized database for the relevant plant and equipment.
  • To control/monitor the planned maintenance for the building and to ensure that all works are carried out efficiently and economically and that the required records are maintained.
  • To carry out daily quality checks of all areas – be proactive in addressing all issues.
  • To schedule and supervise all contract works and repairs. To ensure that such works are as per specification and are in the best interest of the Landlord and Tenants.
  • To implement all works, testing and record keeping of the fire alarm system to meet relevant conditions of fire risk assessment and other statutory requirements.
  • To regularly inspect all plant, equipment and building structure and to monitor the progress of remedial works that are implemented.
  • To liaise with the Fire & Safety reps and thus ensure that the necessary action is taken to comply with current Health and Safety legislation as well as with our own company “Health & Safety” policy and procedures.
  • To control, monitor and implement the agreed procedures in respect of water treatment.
  • In liaison with the Fire, Safety & Environmental representatives to implement the agreed testing regime for air quality monitoring.
  • To ensure that all incidents with insurance implications are reported to the Insurance Department in liaison/consultation with the Managers and to process the Insurance incident report procedures and to keep all relevant parties fully informed of progress.
  • To roster staff as necessary and to organise and implement emergency cover arrangements for outside normal working hours and to arrange appropriate cover for holidays and sickness absence.
  • To regularly inspect and to ensure that all service areas, plant rooms, inspection covers etc. are always maintained in pristine conditions.
  • To assist with the formulation of annual budgets and to ensure that such works planned within these budgets are implemented effectively and economically and the programmed dates achieved.
  • To have a sound knowledge of running building budgets and to initiate and process purchase order requests in compliance with the agreed procedures and budgetary expenditure limits.
  • To ensure that the Tenants and all parties concerned are informed of any necessary close or testing of plant, fire systems or breakdown that will affect them in any way.
  • To prepare specifications, and if necessary to liaise with other departments/Consultants as necessary, for any new works or modifications to existing services and to progress such works. To ensure that each building receives the minimum disruption while such works are carried out.
  • To arrange for the recording and scheduling of all energy/fuel costs and consumptions including humidity levels and daily indoor/outdoor temperatures as required. To ensure that such data is analyzed on a regular basis and any necessary action taken to implement savings.
  • To advise all staff on technical functions relating to plant equipment systems and to be familiar with latest developments in technology.
  • To convene meetings with maintenance personnel at regular intervals.
  • To maintain up to date records and to ensure the accessibility of all service manuals, drawings, contractual obligations including fire testing, commissioning certificates and sub-contract details.
  • To keep Managers fully informed on all maintenance/engineering matters and to produce reports as necessary relating to the optimum performance of the building services.
  • To ensure that all equipment owned by the organization or used by the Maintenance team has passed a portable appliance safety test within the last 12 months.
  • To ensure that all measuring equipment owned by the organization or used by the Maintenance team is logged on an equipment register, and its calibration status maintained as appropriate.
  • Any other reasonable request from the Senior Management Team

The Person:
  • A Degree qualification in a relevant field would be preferable or equivalent experience that demonstrates ability to operate at the required standard. Membership of IWFM / RICS or other appropriate professional body.
  • Experience leading teams to deliver a high-quality service
  • IOSH / NEBOSH qualified or equivalent vocational training in Health & Safety and other related subjects would be highly desirable.
  • Successful track record in Facilities/Building Management in busy professional environments.
  • Strong customer service skills and understanding and managing customer demands and expectations.
  • Sound knowledge of mechanical and engineering systems (e.g. air conditioning systems).
  • Demonstrable experience in successful procurement, tendering and contract management.
  • Experience of managing a budget including forecasting and monitoring.
  • Demonstrable people management skills with experience of line management.
  • Demonstrable knowledge of Health and Safety risk assessments and UK regulations that have a direct impact on H&S within the office/building environment.
  • Demonstrable experience in managing (often multiple) related projects to successful conclusion.
