The Ideal Candidate must have a minimum of 3 years' administrative experience within the construction industry, ideally a Tier 1 background, and be able to perform document control.
A Document Controller's role is integral to the smooth operation of a construction project, ensuring that all documentation is accurate, up-to-date, and easily accessible to all relevant parties. This role requires a high level of organization, attention to detail, and the ability to manage and streamline document processes effectively.
Responsibilities:
- Document Management: Create, classify, and maintain project documents, ensuring they are easily retrievable.
- Version Control: Manage document versions to ensure that only the latest versions are used and distributed.
- Compliance: Ensure all documents comply with company, industry, and regulatory standards.
- Coordination and Communication: Liaise with internal teams and external parties to meet documentation needs.
- Security and Confidentiality: Control access to sensitive documents and ensure secure backup and recovery plans.
- Auditing and Reporting: Conduct regular audits and generate reports on document status and issues.
- Training and Support: Train staff on document control procedures and provide ongoing support.
- Use of Document Management Systems: Implement and maintain electronic document management systems.
- Quality Assurance: Review documents for accuracy and perform regular quality checks.
- Continuous Improvement: Identify and implement improvements in document control processes.
Requirements:
- Minimum of 3 years Administration & Document Control Experience within Construction industry.
- Full UK driving License and vehicle access.
- Proficient with Microsoft Software (Word, Edexcel).
- Fully literate with 4P & Fieldview software, Smartway or similar document control software.
