CONTRACTS MANAGER (DUCTWORK)

£60,000 - £80,000/annum

As a Ductwork Contracts Manager, your role is pivotal in overseeing and managing all aspects of ductwork projects within our organisation. You’ll collaborate with various stakeholders, ensuring project delivery while maintaining high standards of quality and safety. In addition to the core responsibilities, you’ll handle specific tasks related to invoicing, project setup, communication, and coordination. 

Key Responsibilities:


Project Management:
o Plan, execute, and monitor ductwork projects from inception to completion.
o Coordinate with installation/project managers, subcontractors, and other relevant parties.
o Supervise site activities related to ductwork installation, maintenance, and modifications.
o Ensure compliance with safety regulations and industry standards.
o Make sure that materials are ordered with the correct supplier for better buying
Contract Management:
o Audit existing contracts and oversee contract modifications and variations.
o Negotiate complex contracts and manage changes and addendums.
o Secure renewal contracts and maintain positive client relationships.
o Submit contract and financial documentation accurately and on time.
Project Setup and Documentation:
o Set up projects by preparing Risk Assessment and Method Statements (RAMs) and collecting delivery information.
o Organise and manage labour resources efficiently.
o Save variations in the correct format within project folders weekly, informing the commercial and accounts team to ensure
timely invoicing. Failure to capture variations, resulting in a loss of revenue will result in disciplinary action
Collaboration with Other Teams:
o Liaise with Essex Climate Services, Essex Fire Protection and Insulation teams for any shared projects to ensure smooth
running.
o Ensure site teams have proper PPE at all times, Health and Safety is being adhered to and recorded appropriately.
Communication and Client Updates:
o Regularly reply to emails, prioritising client satisfaction and keeping clients informed about project progress, any issues or
delays on site that could affect the smooth running of projects
Site Survey Software:
o Utilise site survey software (site audit pro) for project data collection and submission to the relevant teams, capturing any site
issues or variations. Ensure correct usage of the software.
Order Management:
o Associate all orders with correct project numbers for accurate tracking.
Drawing Revisions:
o Check drawing revisions with the client team on a regular basis to ensure they are up to date

Plant and Off-Hire Review:

o Regularly review plant equipment and identify unused items for off-hire. Issue weekly updates to the company administration
assistant to ensure no excess charges.
Labour Interaction:
o Communicate with labour teams daily, both in the morning and afternoon to ensure correct attendance. Oversee timesheets and
confirm working hours with the office.
o Quality check the installs carried out on site.


Additional notes;
This role requires the use of initiative to get the best out of the on-site teams to ensure client satisfaction and project profitability for the business.
Qualifications and Experience:
• ONC/HNC qualification in Building Services (HVAC) or possess equivalent experience.
• Proven track record of building strong professional relationships and effective project management.
• Excellent written and verbal communication skills.
• Proficiency in IT, including working from AutoCAD drawings.
Additional Information:
• Location: Dartford, Kent – with travel around live sites based in London and surrounding areas
• Working Hours: Monday to Friday, 7.30am – 4.30pm
• Reporting to the Contracts Director
