£35,000 - £38,000/annum

Role Purpose:

To provide high-level personal assistance, administrative, secretarial, and research support to the Finance Leadership and Executive Office.

Responsibilities:

Key Areas:

This job description outlines the primary responsibilities of the role, with the expectation that additional duties may be undertaken as necessary, in line with the individual's skills and abilities.

Key Responsibilities:

  • Provide confidential secretarial and administrative support to the Finance Leadership and assist the senior executive support team, covering for other Executive PAs as needed.
  • Manage the Finance Leadership's diary, including travel arrangements and meeting bookings, coordinating with internal and external attendees as necessary.
  • Maintain key tasks during the Finance Leadership's absence, handling correspondence and ensuring relevant information is available for prompt responses upon their return.
  • Offer executive administrative support to various committees:
  • Investment Committee: Organise meetings, maintain business plans, draft agendas, collate and circulate reports, prepare briefings, take minutes, and follow up on action points.
  • Property Board: Similar responsibilities as for the Investment Committee.
  • Internal Delivery Board: Similar responsibilities as for the Investment Committee.
  • Ensuring compliance with the contract management policy.
  • Managing the contract register in the system.
  • Tracking and monitoring contracts, providing annual reports on active and expired contracts.
  • Liaise with Board members, the Executive Team, Senior Managers, other managers, and staff as required.
