Job Summary:

Our client is seeking a proactive and organised Facilities & Logistics Administrator to join their team. The successful candidate will be responsible for managing the day-to-day operations of facilities and logistics, ensuring the smooth functioning of the company’s construction sites and office facilities. This role requires excellent organisational skills, attention to detail, and the ability to coordinate multiple tasks effectively.

Key Responsibilities:

  • Coordinate and oversee the maintenance and repair of office facilities and construction site infrastructure.
  • Manage the procurement and inventory of office supplies, equipment, and construction materials.
  • Organise and schedule regular maintenance and servicing of vehicles, machinery, and equipment.
  • Liaise with suppliers, contractors, and service providers to ensure timely delivery and quality of services.
  • Maintain accurate records of facilities and logistics activities, including maintenance logs, inventory levels, and service contracts.
  • Assist in the planning and execution of office relocations, refurbishments, and space management projects.
  • Support health and safety initiatives by ensuring facilities comply with relevant regulations and standards.
  • Provide administrative support to the facilities and logistics team, including preparing reports, handling correspondence, and managing documentation.
  • Coordinate the delivery and distribution of materials and equipment to construction sites.
  • Monitor and manage budgets related to facilities and logistics operations.

Qualifications and Experience:

  • Proven experience in facilities management, logistics, or a related administrative role.
  • Strong organisational and multitasking skills with a keen eye for detail.
  • Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with suppliers, contractors, and colleagues.
  • Proficiency in using office software, including Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of health and safety regulations and standards relevant to facilities and logistics operations.
  • Ability to work independently and as part of a team, managing multiple tasks and priorities effectively.
  • A valid UK driving licence is preferred.
  • Experience in the construction industry is advantageous but not essential.
