Location: Birmingham, B18 6NF
Salary: £30,000 per annum (pro rata)
Contract: Part time, Permanent
Hours: 28 hours per week (pro rata of 35 hrs/week)

We provide a range of services for grassroots mental health and wellbeing providers in the West Midlands, including lobbying & representation, signposting, events and much more!

We are now recruiting for a meticulously motivated Central Services Executive Secretary to provide crucial administrative and secretarial support to our senior management team.

Executive Secretary – About the Role

You will maintain the organisation's central agenda diary, plan general appointments and meetings, attend core meetings and take minutes, handle phone calls, arrange travel and assist with various administrative tasks.

You will provide central secretarial and administrative support to the Catalyst 4 Change senior management and staff team under the direction of the Central Services & Development Director, thereby allowing them to focus on their managerial responsibilities.

This role is absolutely pivotal in ensuring the smooth operation and efficiency of our organization.

In addition to this as our Executive Secretary you will be specifically responsible for:

•  Maintaining the central agenda diary, plan appointments, and schedule meetings.
•  Attending core meetings, take minutes, and produce high-quality presentations and written materials.
•  Handling phone calls, manage correspondence, and arrange travel.
•  Overseeing financial administration, including petty cash, payments, and invoices.
•  Assisting in staff recruitment, maintain records, and ensure compliance with policies.
•  Managing office supplies, equipment, and project resources.
•  Organizing events, manage marketing communications, and coordinate community events.

Essential Skills & Attributes

•  Exceptional time-management and multitasking abilities.
•  Proficiency in Microsoft Office and database management.
•  Strong written and verbal communication skills.
•  Experience in financial resource management and minute-taking.
•  Excellent organizational and prioritization skills.
•  Ability to work independently and meet tight deadlines.
•  Experience with social media platforms and online applications

Desirable

•  Degree or qualifications in business administration.
•  Certification from a Secretarial School or institute.
•  Understanding of the experiences of people of African and Caribbean descent.
•  Experience working in the voluntary sector.
