Merrifield Consultants are delighted to be partnering with a leading Membership Organisation to recruit a highly organised and professional Executive Assistant. This role offers a unique opportunity to support two key executives within a dynamic and impactful organisation.

As an Executive Assistant, you will provide high-quality support to the Director of Industry Operations and the Chief Delivery Officer, ensuring the effective planning and execution of their daily schedules and resources.

Job Title: Executive Assistant to 2 Directors

Salary: £35,000 - £40,000/annum plus discount on national rail

Contract: Permanent, full-time

Location: Central London. Hybrid- 2 days in the office/week

Responsibilities:

  • Direct diary management for both the Director of Industry Operations and the CDO, including arranging meetings, liaising with internal and external contacts, greeting guests, room bookings, and catering.
  • Organise local and international travel arrangements, including booking hotels, train tickets, and flights.
  • Prepare and collate meeting documentation, ensuring both executives are well-prepped in advance, including the creation of PowerPoint presentations.
  • Maintain and update email distribution lists and other communication tools as necessary.
  • Coordinate large workshops, seminars, and events, sourcing venues and catering, ensuring all logistics are handled efficiently, including attendance at some meetings in and outside London.
  • Assist with intranet and internet updates.
  • Take notes and record actions in meetings, ensuring follow-up on key discussion items.
  • In box management
  • Collating and preparing expenses
  • Manage and clear actions attributed to the executives, liaising with relevant staff across the organisation.

Person specifications:

  • Experience of working independently and handling unforeseen problems and circumstances.
  • Ability to multi-task and plan workload efficiently.
  • High level of accuracy and attention to detail.
  • Experience of dealing with sensitive or confidential information.
  • Stakeholder engagement and secretariat support skills.
  • Good keyboard skills and working knowledge of Microsoft Office.
