The main purpose of this role will be to provide integral assistance to the Office Services department by managing practical and administrative Facilities tasks in our Lincoln office. As well as this they will be required to communicate with contractors/suppliers and our third-party service provider Fisco to ensure maintenance jobs and services are scheduled in and managed from start to finish. Other responsibilities will involve helping with day-to-day requests/queries that come into the Facilities ticketing system

Key Responsibilities:

  • To provide daily support to operations and maintenance of the building
  • To maintain effective facilities administration systems, including accurate and comprehensive data entry, in line with Facilities Team requirements and procedures
  • To liaise with handy persons, contractors, and Suppliers to help maintain the building standards.
  • Assist in the development of processes, procedures, and systems for the effective management of Lincoln’s Facilities
  • Help to keep the facilities orderly, safe, and efficient.
  • To carry out monthly temperature checks on all water outlets
  • To monitor and maintain the plant equipment including but not limited to; Forklifts, Generators and Compactors
  • Assist in the development, implementation and monitoring of health and safety programs and policies
  • Conduct regular inspections and audits to ensure compliance with health and safety regulations
  • Assist in identifying potential hazards and recommend corrective actions
  • Help organise and conduct health and safety training sessions for employees
  • Assist in the investigation of workplace accidents and incidents, ensuring all reports are completed accurately and timely
  • Participate in developing strategies to prevent future incidents
  • Maintain accurate and comprehensive records of health and safety activities
  • Prepare reports and presentations on health and safety performance metrics
  • Act as a point of contact for employees with health and safety concerns
  • Liaise with external bodies, such as regulatory agencies and health and safety consultants as appropriate
