Job Overview:
As a Dispatch Administrator at our large distribution company in Rochdale, you will play a pivotal role in ensuring the smooth operation of our dispatch and logistics activities. You will be responsible for coordinating the timely dispatch of goods, maintaining accurate records, and liaising with various departments to meet customer delivery expectations. Your organizational skills and attention to detail will be key in ensuring that our distribution processes run efficiently and effectively.
 
Key Responsibilities:
  • Dispatch Coordination:
    • Plan, schedule, and oversee the dispatch of goods to ensure on-time delivery.
    • Coordinate with the warehouse team to ensure orders are prepared and ready for dispatch.
    • Monitor and track shipments, ensuring that all deliveries are executed as planned.
  • Documentation & Record-Keeping:
    • Prepare and manage all dispatch-related documentation, including delivery notes, invoices, and shipping labels.
    • Maintain accurate and up-to-date records of all dispatched goods.
    • Update and manage the dispatch database, ensuring all data is entered correctly.
  • Customer Communication:
    • Liaise with customers to provide updates on their delivery status and handle any inquiries or issues that arise.
    • Coordinate with the customer service team to resolve any delivery-related complaints or issues.
  • Internal Liaison:
    • Work closely with the procurement, sales, and warehouse teams to ensure the smooth flow of goods from order to delivery.
    • Communicate effectively with drivers and third-party logistics providers to coordinate delivery schedules.
  • Compliance & Safety:
    • Ensure all dispatch activities comply with company policies and relevant regulations.
    • Monitor and ensure the safety and security of goods during transit.
  • Reporting:
    • Prepare and present regular dispatch reports to the Distribution Manager, highlighting key metrics and any areas for improvement.
 
Key Qualifications

  • Experience:
    • Previous experience in a dispatch or logistics role, preferably in a distribution company.
    • Experience with dispatch management systems and software is a plus.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication skills, both written and verbal.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Ability to work under pressure and meet tight deadlines.
    • Attention to detail and a commitment to accuracy.
  • Personal Attributes:
    • Team player with a proactive attitude.
    • Problem-solving skills with the ability to think on your feet.
    • Reliable and punctual with a strong work ethic.
