35 hour week, Monday - Friday

If so, our client, a forward-thinking legal firm, is seeking a Front of House/Facilities Coordinator to join their team. Responsibilities:

  • Take on a wide range of duties including general office administration, facilities management, health and safety, and reception areas.
  • Ensure all building-related problems or issues are reported and logged promptly.
  • Manage facilities, including liaising with landlords and overseeing maintenance and housekeeping.
  • Supervise cleaning contracts and ensure the office is kept in excellent condition.
  • Coordinate with external contractors for regular maintenance.
  • Take responsibility for health and safety compliance, including training and assessments.
  • Provide a professional and friendly welcome to all office visitors.
  • Set up and organise meeting rooms and assist with events and refreshments as needed.
  • Maintain the reception area, conference rooms, kitchen, and general office area in good order.
  • Allocate conference rooms and manage bookings.
  • Ensure conference room IT equipment is functioning properly.
  • Direct visitors to the correct destinations and provide necessary passes or equipment.
  • Handle travel and accommodation bookings.
  • Handle deliveries, post, and courier services.
  • Order and maintain office supplies and stationery.
  • Act as the first point of contact for new office starters, providing necessary training and equipment.
  • Liaise with building security and maintain accurate records of visitor passes.
  • Serve as an emergency contact for security concerns.

Skills and Experience:

  • Previous experience handling facilities in an office or customer service environment is essential.
  • Excellent verbal and written communication skills.
  • Ability to prioritise tasks, problem-solve, and use initiative.
  • Strong customer service skills and attention to detail.
  • Proficiency in Microsoft Office applications.
  • Flexible, motivated, and adaptable.
  • Positive, confident, and professional demeanour.
  • Ability to work well under pressure and maintain a calm attitude.
  • Strong team player with a respectful and supportive approach.
