The Recpool Group is currently working with a North West based business entrepreneur, who, following a phase of expansion and growth at the newly opened offices in Liverpool city center, now has the need to add a fulltime Personal Assistant to his team to help in the daily management and running of his business portfolio.

The ideal candidate would be someone who has currently been working as a Personal Assistant for at least the last year but reached the stage of their career where they have the experience and skills to take on a new role, is ready for a fresh challenge and has a hunger for growth, but their employer doesnt share the same vision.

Working as a key person within my clients small, hard-working, flexible, approachable and supportive team, you will help support the smooth operation and delivery of the business services across their UK client base and utilise the role of PA to the Director to ensure capacity and progress in the strategic and operational work of the portfolio.

Responsibilities:
As a personal assistant, the key responsibilities are (but not limited to):

  • Proactively manage/support the Associate Directors workload to ensure that all urgent and sensitive issues are dealt with in a timely manner.
  • Handle queries and information requests in an efficient manner on behalf of the Director.
  • Act as the filter and main point of contact for internal and external contacts, representing the Director in an appropriate manner at all times.
  • Handle and communicate complex and sensitive information with the utmost discretion and confidentiality, both internally and externally.
  • Manage and maintain calendars, including recurring meetings, prioritising appropriately, and using good judgment in offering solutions to complex scheduling and planning as needed.
  • Coordinate complex and multi-leg travel (accommodations, local transportation and passport/visa requirements). Proactively anticipate potential travel issues and handle accordingly.
  • Record and transcribe meetings minutes ensuring a log of actions is completed and reviewed in a timely and accurate manner.
  • Contribute to the reputation of the Company through professional, friendly, and respectful interactions internally and externally.

  • Excellent organisational ability. 
  • Able to coordinate multiple projects efficiently, effectively and to budget.
  • Ability to prioritise and deal with ambiguity.
  • Comfort and ability to thrive in environments that may present multiple and simultaneous demands for attention.
  • Shown to be trusted to handle confidential and sensitive information with the ability to exercise discretion and show good judgment.
  • Excellent attention to detail and accuracy.
  • Self-motivated, driven and proactive.
  • Professional, approachable, and diplomatic in nature.
  • Proven track record of interacting effectively with varying levels in and outside the organisation in a demeanour that is representative of the business owner.
  • Outstanding written and verbal communication and organisation skills
  • Ability to work flexibly and under pressure in a demanding environment. 
  • Demonstrated experience in working independently and within a team to identify, analyse, and solve problems with creative and successful solutions.
  • Shown expertise in Microsoft Office products, including Word, Excel, PowerPoint, Outlook and Teams. Willingness and ability to learn company-specific software or system tools.
