One of our local authority clients are currently recruiting for a Property Services Administrator. This is a 3 month temporary contract with possible further extension based on budget and performance, working 30 hours per week.

Main Purpose of Post/Job Summary

To deliver an excellent day to day core housing repairs service. This includes technical support, receipt and dealing with repair enquiries, requests, complaints, comments, work scheduling and making appointments.

To work with the Senior Property Services Support Officer and the wider Housing and Communities team within the Council to ensure excellence in service to customers, both internal and external is achieved.

Duties and Responsibilities

  • Be committed to the Council’s Vision and carry out work within the spirit and intention of its core values.
  • An understanding and awareness of the concept of “Making Every Contact Count” (MECC), attending training where necessary.
  • To contribute to a creative and open environment within the Housing Team where employees feel supported, involved and consulted.
  • To make use of the technology available to improve communication and service delivery within the Team, the Service Unit and the Council as a whole.
  • To carry out all work within the spirit and the intent of relevant legislation and Council policy and procedures, e.g. Equal Opportunities, Health and Safety, Customer Care, etc.
  • To work in accordance with the Health and Safety at Work Act 1974.
  • To undertake personal development commensurate with the duties and responsibilities of the job.
  • To assist in collating, delivering and reviewing service standard, quality and performance targets within the Housing and Communities Service Unit.
  • To review and inform the development of administrative and IT systems and procedures continuously to ensure that services are executed to the highest standards possible.
  • The day to day delivery of core housing repairs service. This includes technical support providing full administrative duties to run operationally the voids, planned maintenance and reactive repairs sections.
  • Receipt and dealing with repair enquiries, requests, complaints, comments, work scheduling and making appointments.
  • To be proactive in identifying opportunities for continuous improvement and maintaining existing improvements.
  • To co-operate and communicate with other Property Services sections to ensure that they are aware of high areas of demand on the repairs service being delivered.
  • To communicate effectively with the customer, team members and other stakeholders in a professional manner.
  • To carry out basic diagnostic questioning over the phone to establish what repairs is/are required.
  • To ensure adherence to health and safety policies for all employees incorporated in the Councils Manual of Policy, Procedures and Guidance and any relevant Health and Safety legislation.
  • To assist in ensuring work is carried out in accordance with Health and Safety legislation in particular working with asbestos and in adherence to NBBC asbestos management and emergency procedures.
  • To ensure that complaints and comments from tenants/members of the public/user groups are appropriately dealt with in accordance with the Council’s policies and procedures.
  • To deal with and or assist the Senior Property Services Support Officer in dealing with enquires from M.Ps, Elected Members, other departments and agencies in relation to the activities of Repairs and Maintenance.
  • To ensure that the Council’s Fairness and Diversity Policies and Practices are fully complied with, and to be personally accountable for carrying out the duties and responsibilities of the post in accordance with these and all other relevant regulation, policies and procedures.
  • Awareness of and as far as reasonably practicable, compliance with the freedom of information legislation.
  • The nature of the job will require a flexible approach to the hours worked in order to support business needs for the section to be staffed between 8:00am and 5:00 pm.
  • To undertake such other duties of a similar nature and responsibility that may be identified as the services provided are developed and refined.
