£26,000 - £30,000/annum

Mpeople Recruitment are looking for a thorough and reliable Project / Contracts Administrator on behalf of our client who are a thriving a reputable business based in Ashton-Under-Lyne, that operate within the Construction sector.

  • Location: Ashton-Under-Lyne (OL6)
  • Hours: 8am - 4pm, Monday to Friday (flexibility on start & finish time)
  • Salary: £25,000 - £30,000 dependent on experience

The Contracts Administrator will be primarily responsible for the management of contract documentation ensuring that all project related administrative elements are up to date, in order and controlled. They will need to control their own time and resources effectively to ensure that they are organised and structured proficiently in managing their own daily schedules, however they will also be required to work alongside various members of the team to assist with several elements of contract control that are undertaken by the business.

Main duties & responsibilities:

  • Contract papers; processing project contracts, receiving, obtaining signatures and sending recorded post, scanning and saving signed copies to the system
  • Administrative site paperwork; creating hard copy project folders, replenishing documents for site teams, scanning and saving completed forms on our system.
  • Administration of “Fieldview” site documentation software, utilising cloud-based system to create and maintain site paperwork, monitoring documents being created, ensuring correct distribution to stakeholders, assisting/supporting site-based users and
  • Drawings; requesting, downloading and maintaining drawing folders for projects, updating drawing registers. Organising the printing of drawings, either in-house or from an external supplier. Basic marking up of drawings at the request of the QS/PM/SM
  • Using Fieldview site documentation software to upload and mark up plan drawings for QA systems onsite
  • Health and Safety Documentation; registration of new projects with the companies H&S consultant, maintaining H&S document templates, assisting the Contracts Director with sending H&S paperwork.
  • Specific training requirements/contract specific agreements; organising and controlling any project specific requirements, notifying Directors of such requirements and taking instruction on how to organise to meet client needs.
  • Input of training data onto the training matrix, notifying staff and workforce of upcoming expiry dates, working with Directors to organise training sessions. Filing of training certificates
  • Certifications; assisting the Directors with collating data for yearly subscriptions and accreditations
  • Liaising and communicating with other team members and site staff to assist and ensure that all parties involved in a specific project have the correct and appropriate information
  • Answer Surveying Dept. / general office phone calls, direct calls to the appropriate persons, take comprehensive messages and offer general assistance to any persons calling
  • Data input; providing ad hoc support to the Quantity Surveyors, Estimator and Buyer by assisting with the input of information onto the system in various formats.
  • Assisting Commercial and Contract Management with meeting requests and sending emails on their behalf where necessary
  • General office administration and housekeeping;

Required Experience & Skills:

  • Fluent in standard Microsoft Office software, with notable proficiency in Excel, Word & Outlook
  • Knowledge of Xero accounting software (preferable but not essential)
  • Knowledge of the Construction Industry, specifically Joinery (preferable but not essential)
  • Ability to communicate clearly and effectively at all levels within the business
  • Exceptional professional conduct and manner
  • Understand and follow established procedures
  • Able to develop, maintain and promote new concepts and procedures
  • Excellent formal and business letter writing techniques
  • Fully capable of managing own time and prioritising tasks effectively
  • Team player, happy to get involved and help in other elements of the business if ever required
