Administrator

You will work closely with and offer support to the Production Manager and Production Co-ordinator. You will be a key point of contact for customers and assist with processing and documenting customer enquiries from initial contact through the design, quote, production and delivery stages. You must have your own transport as you will sometimes work across two sites initially.

The salary range is according to skills and experience.

RESPONSIBILITIES

Responsibilities include but are not limited to the following:

  • Provide a key point of contact to liaise with customers and ensure their enquiries are managed effectively and where appropriate routed to another member of the team
  • Ensure the process for preparation of quotations and is followed and identify improvements to the process for consideration by the Production Manager.
  • Use Sage and office specific software to help prepare specific work instructions and cutting lists to meet customer deadlines. (With experience the Production and Sales Administrator will help ensure designs are fit for purpose and optimise the materials used and the production time.)
  • Co-ordinate visits to prospects and customers where requirements will be assessed and collected including detailed, accurate measurements.
  • Maintain and improve customer record keeping including specifications, cutting sheets and work instructions, and ensure the information is kept up to date and available across the business via a central database.
  • Ensure records are updated with changes to technical data and the information is available to the Production team
  • Keep a record of new technical designs for cases and packaging developed by the Production team. Examples include exploration of new materials and use of new techniques to improve performance and cost
  • Take responsibility for keeping filing and other office systems tidy, accurate and up to date. Also assisting with process management duties to ensure best practise in quality, environmental targets and health and safety is maintained at all times.
  • Use a CRM system and other approved business processes and software to maintain customer contact details, history and other information that may be required by the business.

PERSON PROFILE

  • An enthusiastic, self-starter with energy and a desire to learn
  • Educated to a minimum of A level standard with ability/confidence in technology, engineering, maths or technical design as helpful
  • Experience and confidence is essential in the use of office computer packages, including Microsoft Office, Sage, Excel and CRM and design packages (experience in the latter is desirable but not necessary). Training will be given
  • Credible, confident and a good relationship builder with excellent team working and people skills
  • Strong quality and service ethic with a desire to work within a client focused organisation
  • Attention to detail in all aspects of the role
