Project Coordinator

This position is responsible for managing and coordinating client requests for various projects to ensure timely and accurate delivery and billing. The role involves effective problem-solving with clients and third-party vendors, facilitating clear communication among multiple stakeholders—including clients, quality assurance, development teams, and directors—to ensure the seamless execution and delivery of projects.

Main Duties and Key Responsibilities:

  • Client Request Management:
    • Review client requests and collaborate with internal teams to ensure full understanding of requirements.
    • Work closely with clients to define and scope project requirements, ensuring clarity on objectives, deliverables, and timelines.
  • Project Coordination & Execution:
    • Allocate work to developers and facilitate pre- and post-story huddles to promote clarity of requirements.
    • Review project test platforms and work with testers to resolve any issues. Identify areas for improvement and implement changes as needed.
    • Develop sprint plans to align with project timelines and adjust tasks and priorities as necessary to meet deadlines.
    • Attend daily stand-up meetings to ensure all projects are on track, ensuring the presence of necessary attendees for project discussions and following through on action items.
  • Stakeholder Communication:
    • Facilitate clear communication across clients, quality assurance teams, development teams, and directors to ensure effective project delivery.
    • Work with client services to align project objectives with client expectations, addressing concerns and ensuring timely service delivery.
  • Issue Escalation & Reporting:
    • Escalate priority issues to senior management as needed, advising them on key correspondence and meetings requiring attention.
    • Conduct analysis on how projects impact overall business capacity and performance.
  • Administrative Support:
    • Organize files and documents, manage calendars for multiple parties, and coordinate schedules to prevent conflicts.
    • Assist with writing and proofreading correspondence, take meeting notes, and follow up on action items.
    • Arrange meetings, book travel, and coordinate rooms and refreshments.
    • Welcome customers and guests, attending to any needs during their visit.

Skills, Knowledge, and Experience Required

  • Ability to work independently in an unstructured, entrepreneurial software company environment.
  • Experience in project management and a customer-facing role.
  • Strong general IT knowledge, with experience in Microsoft Office, Jira, and Zendesk is an advantage.
  • An interest in design (e.g., banners, page layout) is advantageous but not essential.
