Location: Southampton
Hours of work: Full time Monday to Friday 37.5 hours
Dynamite Recruitment is working in Partnership with a very well-established service provider who are based in the Southampton area.
Due to growth our client is looking to recruit an Administrator
You will be responsible for liaising between clients and a team of technicians to schedule in and coordinate service visits
As an Administrator you will be responsible for:
- To manage client expectations via various sources and schedule in work to be completed
- To ensure that all contractors and technicians have service visits scheduled in to be completed.
- To manage multiple diaries
- To respond to any customer complaints or problems in and expedite prompt resolution or escalation where you are unable to assist.
- To ensure that all pre planned maintenance works is carried out in accordance with the required schedule and that cancellations are kept to an absolute minimum.
- To ensure that technicians have the relevant materials and stock in order to complete work.
- To proactively resolve any procurement issues with suppliers and/or escalate in due time to avoid impacting customer service levels.
- To sign off supplier invoices
- To check and record engineer and technicians time and tracker activity daily for payroll purposes.
- To issue job sheets to the technicians & engineers prior to appointments
- To liaise with the Engineers to ensure all visit reports are completed correctly and returned.
- To contact customers prior to visits to confirm appointments.
- To provide quotes and complete administration to support service visits.
- To ensure that all completed works are invoiced to the customer.
- To support the Finance team in resolving aged debt and improving DSO performance
The ideal Administrator will have / be.
- Ideally have had experience within coordination / administration
- Will have taken ownership of managing a client from initial enquiry through to completion.
- Attention to detail – Disciplined approach to working by completing tasks promptly and correctly and by following established processes.
- Strong work ethic – Positive ethical attitude and behaviour including reliability, willingness to take on responsibility and commitment to completing tasks.
- Time management – To continually ensure that time is managed to the highest level such that you are always punctual, have optimised your work schedule and can complete a day’s work in a day.
- Customer focus – To put the customer at the heart of all that you do.
