Project Administrator for the Glazing Refurbishment Division – Glazing Renovations Ltd

The Company

Glazing Renovations, with offices based in Mildenhall, is a subsidiary company of a well-established SME rooflight manufacturing company Glazing Vision.

Glazing Renovations contains two divisions, one is the rooflight installation, repairs and servicing department of Glazing Vision with the other being a glazing refurbishment division.

Overview of position

An exciting position has become available due to an increase in works being won by the refurbishments department, and we are now looking for a Project Administrator to manage these won contracts and complete administration work for projects to be quoted.

You will need to be competent with raising purchase orders, organising our pre-approved sub-contractors and planning in upcoming works.

An understanding of glass and aluminium glazing systems, curtain walling repair /refurbishment and other glazed structures along with good knowledge of dealing and understanding different pros and cons of using different access equipment/techniques (ie abseil, MEWPS) and cranes would be advantageous.

Along with the above skills you will have:

  • Must have good working knowledge of computer systems like Word, Excel, outlook along with a basic understanding of working with basic bookkeeping software, at present we use XERO.
  • Hardworking and “can do” attitude.
  • Excellent organisation skills.
  • Excellent attention to detail.
  • Excellent telephone / written communication skills.

Reporting to

Reporting directly to the Managing Director of Glazing Renovations.

The role

To manage refurbishment projects from release to completion.

Key responsibilities

  • Procurement and raising of purchase orders of all necessary equipment and subcontract labour to be able to complete projects.
  • Organizing labour and equipment to ensure we complete works for the client in lead times agreed at quote stage.
  • Liaising with customers via telephone / email to ensure they are always up to date with their project.
  • Keeping all projects updated on WIP project management schedule.
  • Project ownership of Renovations projects from point of sales quote to completed installation.
  • Ensure calendars are kept up to date and all invitations set.
  • Ensure pre-start email has been to and also follow up emails after works with pictures of completed works.
  • Keeping customers up to date via the COUPA portal.
  • Ensure projects run to time and budget.
  • Ensuring clients are adhering to payment terms.
  • Administrating the quote database with incoming enquires.
  • Preparation of RAMS for review.
  • Raising of sales invoices when works are completed on “purchase order” projects.
  • Social media and Case study information to be prepared for marketing team.
  • Any other jobs reasonably requested by Glazing Renovations.

Salary

  • Salary depending on Project Administration experience.
