We’re recruiting for a Project Coordinator to join a friendly, supportive team in a successful growing business.

The main purpose of the role is to provide effective administrative support to an International & Global Team, processes are completed in key areas such as delegate recruitment, client communications, event organisation, travel logistics, finance, budget monitoring, evidence retention, partner engagement and evaluation.

Key Responsibilities:

  • Take responsibility for the booking of all flights, hotels, and other logistics for international and global programme delegates
  • Create and update as required a work plan of all programmes for ease of reference for the team and managers
  • Work with Business Growth Regional Business Development team to interrogate data to identify suitable companies to target for client acquisition
  • Coordinate the organisation of selection panels and briefing events
  • Collect participant details for the flights and coordinate and manage communication between all parties involved to ensure that participants have the relevant information about all travel arrangements on time, including any updates or changes
  • Using Salesforce CRM and/or additional tools, record all international and global programme applications and run reports required for IUK Business Growth Monthly and Quarterly reports as required
  • Follow up with clients at agreed intervals to capture impacts from programmes and potential case studies
  • Raise POs for suppliers and monitor supplier payments to ensure timely payment
  • Manage the receipt and reimbursement of participant deposits
  • Record and monitor all programme spend against budget forecast and budget codes
  • Work with the UK Business Growth Contracts Team to assemble information for claims and financial transactions.

  • Experience of working in a project/events or admin support role, preferably with SMEs
  • Experience of working with databases and maintaining accurate customer information
  • Experience of planning and organising events
  • Experience of working on a number of projects simultaneously
  • Team player with good interpersonal skills
  • Highly organised, with the ability to prioritise own workload and meet deadlines
  • Excellent communication skills especially telephone and written English
  • IT literate with experience of Databases, Excel, Word, and Outlook
  • Client-focused, recognising that clients are both internal and external
  • Empathetic and able to develop rapport with partners, clients, and colleagues
