We require an HR Officer (Crewing) to join our Aberdeen based client on a permanent basis. 

As an HR Officer (Crewing) you will be responsible for providing a personnel logistics service and ensuring that the vessels you support are properly crewed at all times. This HR Officer role involves working in partnership with the Operations and Commercial Departments to ensure personnel selected for vessels are sufficiently experienced and competent possessing the correct certification, training, visas etc. to sail on the vessels to which they are assigned

THE SUCCESSFUL APPLICANT

  • Previous experience in a generalist role within an HR Department with logistical duties and the ability to deal with all levels of personnel within an organisation is highly desirable.
  • Excellent knowledge of the marine industry is also highly desirable
  • Work well within a team environment and possess excellent organisational, administrative and communication skills.
  • Proficient in all MS Office packages
  • Ability to multi-task and have an interest in all aspects of the department’s work is necessary, as the jobholder will have to provide holiday/absence cover for other department members as required.

JOB DESCRIPTION 

  • Responsible for providing a complete, efficient HR and recruitment service for both owned or managed vessels.
  • Assist and proactively advise the Operations and Commercial Departments on crewing matters such as the recruitment, transfer, and promotion of employees to ensure that the vessels operate in a cost-effective manner and effective handover/familiarisation periods are completed.
  • Liaise with the vessels’ crews and build up a knowledge of their potential, expectations and training requirements to assist the Crewing Manager in implementing succession planning, training, appraisals, policies and procedures to ensure effective resource planning.
  • Ensure vessel crew schedules are updated at all times.  Prepare accurate crew lists to send to all vessels in advance of any crew changes in order to provide reports for the company.
  • Monitor incoming POB’s Competency reports and the Apps to identify certification that requires revalidation i.e. Certificates of Competency, Certificates of Equivalent Competency, seafarers medicals, passports.
  • Apply for Certificate of Equivalent Competencies as required
  • Update sickness, absence and certification records within the HR Database. Liaise with absent sea staff and conduct fit to return interviews when necessary.
  • Ensure that the Payroll Officer receives all relevant information in a timely manner for inclusion in all offshore payrolls.
  • Co-ordinate with seagoing Senior Managers on the completion and submission of Performance Review and Competence Assessment forms.
  • Assist, as required, in dealing with and advising on sea staff performance management issues and disciplinary and grievance issues.
  • Process Contracts of Employment and offer of Employment to all new employees. Ensure that all new hire employees receive an induction pack relative to their rank.
  • Monitor the probationary periods of new recruits and the performance of employees who have been promoted to ensure that these probationary periods have been successfully completed.
  • Ensure HR database system records are updated to enable accurate reports and payroll to be produced.
  • Assist and organise cadet recruitment, placement and monitoring of trainee’s with the other HR Officers.
  • Responsible for overseeing the training provided to cadets and trainees during sea phases and review the performance of each cadet at the end of each sea phase.
  • Monitor progress at college and if necessary monitor re-sits. Ensure SMART funding is claimed where applicable.
  • Apply for and continually monitor the applications for and the validity of Seaman’s Licences, Passports and Visas for assigned vessels and assist in ensuring these are kept up-to-date fleet wide.
  • Advise on vaccination requirements
  • Make vessel visits proactively and as required in support of the Department’s KPI objectives and individual targets.
  • Participate in the Crewing Dept. on-call rota as required by the Company.
